Because many companies and organizations have their own documents or paperwork as being issued through a company; the physician has to take the information he or she has obtained and put it back onto the same sheet of company issued paper instead of the EMR. This is because, physical or job employment forms are not as standardized as the HCFA forms(used in medical billing). If it were that simple a physician could generate a form for employment or physical that is widely used to complete the information that is needed for the patient to continue school or be allowed to be gainfully employed.
In the haste of a busy day sometimes physicians forget to complete the entire form, this may also be because the EMR already has the medical office location ect.. As a result, these things do not have to be filled in as they need to be done when completing a paper form. How does an EMR allow a physician to complete a paper form in typewritten format that is provided to him or her by a patient?
This can be done by utilizing optical character recognition software (OCR). Optical character recognition software, is software that converts pages of documents. The document or form is scanned into type written text so it can also be used to type and complete information such as an employment form. Once the text document is scanned into the OCR software, the text is extracted into an editable or type ready format that will enable one to use that same form to actually type and complete it. The benefits of optical character recognition (OCR) software is that the information that the physician has provided is legible and no one has to question the submitted form, which is important especially if are starting a new job or need all of your medical forms completed before the start of classes. The physician can type on that form as though they are completing a note inside the EMR. This is because of course, they are actually doing so as a result of the document form that was scanned by the OCR software. Once all information is complete the physician can save the information as part of the patients chart and then print out a complete typewritten copy to give to the patient. There will be no more shorthand notes to decipher, and no need for human resources of said company to call and verify information that the physician supposedly has written, because the person on the other end of the phone is having a very hard time reading what the physician actually wrote. Who knows, maybe they didn't want you to get the job. When a form has to be completed usually immediately and a physician does not want to take it with them at the end of the day, because bringing paperwork home is considered old fashioned, and the fact that your precious form may be returned to you in a crumpled manner OCR software is useful. By scanning the form with the OCR software for EMR it can be completed and sent to wherever the patient needs it to go to and once printed it produces a copy much like the original. This would also be great for pre-operative forms.
The Optical character recognition software can be used for all forms and letters that need to be completed. It makes for a much neater version of the document and has template use if the same form needs to be used again the next year. Who said your doctor is not in the house? With the optical character recognition (OCR) software, they are never far from the office!
